Planning a wedding can feel overwhelming, and one of the most common questions couples ask is: “When should we book our photographer and other vendors?”


Booking too late can mean missing out on your dream photographer, florist, or venue. But booking too early can feel daunting if you don’t have a full vision yet. This ultimate wedding planning timeline will help you know exactly when to book each vendor, so you can relax and enjoy the process.

12–18 months before the wedding: Book your venue and photographer

Your venue and your wedding photographer should be the very first vendors you secure. Why?

  • Popular venues and top photographers are often booked more than a year in advance, especially for peak wedding months.
  • Your photographer’s style will set the tone for your photos — and their availability may even affect your date choice.

Tip: If you’re planning a destination wedding, reach out to your photographer early so they can help you with location tips and timelines.

10–12 months before: Hire key creative vendors

Once your venue and photographer are locked in, book the vendors who can only take one wedding per day:

  • Wedding planner (if you’re hiring one)
  • Videographer
  • Band or DJ
  • Caterer (if the venue doesn’t provide one)

Why now? These vendors also book up quickly, and having them confirmed early allows for better coordination.

8–10 months before: Secure your florist and other décor vendors

4–6 months before: Book beauty and other personal services

Hair stylists, makeup artists, and specialty vendors like cake designers should be booked at least 4 months out. These vendors often juggle multiple weddings, so it’s better to confirm them sooner than later.

2–3 months before: Final details

Now is the time to finalize transportation, ceremony musicians, and any extra details like welcome bags or rehearsal dinner plans.

1 month before: Confirm everything

Send final timelines and shot lists to your photographer, confirm arrival times with every vendor, and make sure all payments and contracts are squared away.
